VIP Meetings & Conventions has designed and developed a real-time, multi-user, fully customized system for reservation processing and housing management. An important distinction is that this is our own software so we do not have to wait for the next release to perform customization for our clients. Its development and refinement has been the product of over two decades of experience in the housing business. Our software is robust, mature and infinitely flexible.

The system consists of a sophisticated relational database which functions as an information and inventory control system. The system provides a centralized knowledge base regarding current hotel inventory availability and the disposition of each individual reservation. With its flexible sub-block capability, inventory can be segmented into various categories such as attendee, exhibitor, staff, VIP’s and special groups, to control usage.

Website/Internet Capability

VIP Meetings & Conventions’ website will include a section (microsite) which can be accessed directly from your website and is fully customized for yourevent. It will contain your logo, a description of your event, hotel information, maps and other useful local information. Hotel reservations can be submitted on-line via a secure connection or the housing form can be downloaded and submitted by either fax or mail. Reservations received via the Internet are automatically uploaded into our system and undergo a rapid, yet essential quality control process prior to being saved in the database. Attendees will receive an instantaneous e-mail acknowledgement. Utilizing our easy-to-use web based event management tools, both our clients and hoteliers can access real-time reports 24/7 by entering a password-protected area of our website. When integrated with your online registration system, the registrant will experience a seamless booking process, entering their personal information once. After completing their registration, they will land on the hotel reservation page, which is already pre-populated with their personal information. This option tends to increase pickup and alternatively can provide survey information if they exit without making a reservation.
